- Ensure donation reconciliation, including processing mailed checks and ensuring accurate data entry across physical and online gifts, record-keeping, and reporting of all donation transactions.

Reports to: Director of Donor Databases
Union Salary Grade: D3. This is a union position.
Annual Salary Range: $74,485 - $112,243. The salary for this role will be determined by a candidate's years of relevant experience related to the position, as well as their geographic region. Our salary scale steps start at 1 year or less and go up to 30+ years of experience.

Database and Reports Manager
The Database and Reports Manager is responsible for optimizing database reporting operations to drive data-driven decision-making and ensure high standards of data integrity. This role takes ownership of designing, managing, and refining queries, reports, and lists across platforms such as Raiser’s Edge, Luminate Online, and Excel, to support impactful fundraising insights. Working closely with the Director of Donor Databases, this position not only fulfills data requests and maintains data quality through consistent audits and updates, but also leads initiatives in developing and implementing database policies. Additionally, the Database and Reports Manager provides essential user support and training, empowering staff to adhere to best practices in data management. The role includes assistance with critical tasks such as data entry, gift processing, and financial reconciliation, ensuring smooth, accurate operational processes across the organization.
What you’ll do:
Reporting and Data Processing:
- Proactively create and manage a variety of queries, imports, exports, and reports using Raiser’s Edge, Luminate Online, Microsoft Excel, and other tools to anticipate and meet the Development Department’s evolving data and analysis needs.
- Efficiently manage and fulfill requests for mailing and email lists, tailoring output to specific criteria. Prioritize accuracy and timeliness, ensuring that all data provided supports team goals and strategic outreach.
- Generate, analyze, and distribute regular reports on fundraising activities, ensuring insights are timely, relevant, and support data-driven decision-making across teams.
Database Management:
- Ensure data integrity and accuracy across multiple platforms.
- Conduct regular audits of the database to identify and correct discrepancies.
- Review constituent and gift records to ensure both accuracy and consistency.
- Receive and process requests for changes and updates to data with efficiency and accuracy.
- Collaborate on creating standard operation procedures for the database team
Database Team Support:
- Support the Director of Donor Databases on select tasks and during periods of high volume as assigned.
- Assist with data entry, gift processing, and making updates to constituent and gift records as assigned.
- Assist with the monthly reconciliation of Raiser’s Edge income to General Ledger revenue.
- Assist with tasks related to the annual financial audit as it relates to Development income.
User Support, Training, and Policy Development:
- Manage the development and implementation of data management policies and procedures.
- Develop and provide training and ongoing support to staff on database usage and best practices.
- Develop, maintain, and optimize database guidelines while ensuring guides and procedures are up-to-date and recorded.
- Serve as the backup point of contact for user administration and technical issues related to database systems.
Who you are:
With the understanding that no one person will offer every desired skill and characteristic outlined below, compelling candidates will offer much of the following:
- 2-4 years of data entry, data management, and/or reporting experience
- Experience auditing data to ensure integrity across platforms
- Previous experience processing gifts and updating gift records
- Experience providing training to staff on correct processes and procedures for gift processing and database support preferred
- Ability to create and document operating procedures
- Incredibly detailed oriented, well-organized, focused, yet adaptable and responsive.
- Excellent oral and written communication skills.
- Motivated, self-starting, dependable; able to work well under pressure; the ability to work collaboratively with diverse teams.
- Strong analytical skills with the ability to interpret data and generate reports. Proficiency with Microsoft Office Suite (specifically Word, Excel, PowerPoint)
- Proficiency in database software, preferably with Blackbaud products such as Raiser’s Edge and/or Luminate Online.
- Experience in a nonprofit setting preferred.
